MOVE-INS
Once an applicant has passed the rental criteria they are ready to be processed as a move in. Prior to the applicant moving in, the Lease Contract and all lease addendum's should be prepared (The deposit amount and the prorated rent amount should match what was given to the rental applicant at the time the application was completed). The unit should be walked to check for readiness and any issues should be addressed prior to the resident’s arrival. Move-ins must be updated in the property management software daily. Property managers and regional are the only authorized representatives from United Apartment Group allowed to sign the final lease contract. United Apartment Group requires a Move in Inventory to be completed within 48 hours of resident’s possession of the unit. The standard procedure is to have 2 inventories printed as part of the “to be signed” lease file. The first inventory is to be given to the resident to complete, with instructions of notating or identifying any wear or tear to the unit that may exist. It will be important to request the resident returns the notated inventory to the office within 48 hours. The second is to be signed by the resident and remain in the file until the first is received with any notations they may have. If the first is not returned in the allotted time frame, it is understood and acknowledged that there are no issues and resident will be responsible for any damage to the unit. Once the resident returns the completed inventory, it will be important to review prior to filing it. If the resident has any items notated on the inventory that is above normal wear and tear, you will need to put a work order in to ensure these items are resolved. Any life safety issues such as, door locks not working properly, etc., will require immediate action. United Apartment Group requires subsequent confirmation that the work was properly completed.
